Overview

This is a Full time, benefit eligible position. Monday through Friday, 40 hours per week. 

 

Day to day clerical functions in support of Regional Property Manager including, but not limited to, rent collection/accounts receivable, leasing, answering phones, opening mail, filing, supply ordering, and special projects. Monitor quality service, marketing and resident relations while maintaining the company investment and meeting company goals.

Responsibilities

  • Open the office and staff the front desk. Ensure office is operating efficiently and effectively by keeping regularly scheduled office hours.
  • Maintain a professional attitude and appearance in the office.
  • Promptly respond to all incoming calls, messages, and emails of a general inquiry.
  • Open the incoming mail daily and ordering supplies when necessary or as requested.
  • Keep consistent records of all leasing activities including tenant move-ins and outs, processing applications timely, and establishing marketing as often as occupancy requires.
  • Complete annual recertification process to include interview, annual paperwork, etc.
  • Ensure that applications are readily available and distributed to all interested applicants; help with preparation of applicant files and promptly vote on all applications when requested.
  • Complete landlord statements and provide assistance to any agencies providing support services to any resident.
  • Consistently enforce all account receivable policies and procedures. Ensure receipt of open receivables by using ticklers in Outlook or equivalent system.
  • Complete maintenance work orders when such requests are called in during the office hours, make the Maintenance team aware of emergency situations as soon as possible.
  • Assist in marketing, mass mailings and/or special administrative projects, when applicable.
  • Develop contacts with the community and assist with tenant events/relations.
  • Log all detail regarding applications in BostonPost Property Manager.
  • Collect and log monthly rents and track all open receivables in BostonPost Property Manager. Review delinquency report with Regional Property Manager monthly at minimum.
  • Prepare deposits for the bank run.
  • Ensure that all company policies and procedures are being strictly adhered to and provide consistent, equal service to all of our residents, applicants, and vendors while promoting a positive image of the company throughout the local community.
  • Perform other duties as assigned.

Qualifications

  • High School Diploma with 2 years office/clerical work experience or an equivalent combination of education and experience required.
  • Valid driver’s license with no major restrictions and acceptable to Housing Visions insurance carrier required.
  • Must be able to meet the requirements of a Drug Free Workplace which includes but is not limited to negative results on pre-employment, random and reasonable suspicion testing.
